Introduction
Welcome to SuperBoss, a product of Araxa Technologies (Pty) Ltd (araxatechnologies.com). We are committed to protecting your personal information in accordance with the Protection of Personal Information Act (POPIA) and any other applicable data protection legislation. This Privacy Policy explains what information we collect, how we use it, who we share it with, and what rights you have regarding your personal data. By using the SuperBoss app or platform, you agree to the terms of this Privacy Policy.

Information We Collect
We collect the following categories of information when you use SuperBoss:
Account information: Your name, business name, email address, and login credentials.
Email data: We connect to your email account via IMAP/SMTP to read, analyse, and display your business emails within the app. We do not store the full contents of your emails on our servers beyond what is required to display and process them within the app.
Calendar and booking data: Meeting times, appointment details, and booking information you have created or linked within the platform.
Contact (CRM) data: Business contact information you store or import into the SuperBoss CRM feature.
Device information: Device identifiers and push notification tokens used to deliver notifications to your device.
Usage data: Information about how you interact with the app, such as pages visited and features used, to help us improve the product.

How We Use Your Information
We use the information we collect to provide, operate, and maintain the SuperBoss platform and all of its features. Specifically, we use your information to analyse your emails using AI in order to prioritise, summarise, and flag important messages for your attention; to send push notifications to your device regarding emails, approvals, bookings, and calendar events; to manage your CRM contacts, calendar entries, and booking workflows; to respond to your support requests; to improve the app based on usage patterns; and to comply with our legal obligations under South African law.

Email Account Access
SuperBoss connects to your email account using the credentials or authorisation you provide. We use this access solely to display and process your business emails within the app — for example, to show your inbox, allow you to reply to emails, and to run AI analysis on your messages.
We do not sell your email content, use it for advertising purposes, or share it with third parties for their own use. We do not store your full email content beyond the immediate operational need of displaying it to you within the app.
When you reply to an email through SuperBoss, the reply is sent using your own email account credentials. The SuperBoss reply function does not alter, move, or delete any messages in your email inbox.

Third-Party Services
SuperBoss makes use of the following third-party services, each governed by their own privacy policies:
Firebase Cloud Messaging (Google): Used to deliver push notifications to your Android device. Google may process certain device identifiers as part of this service.
Grok AI (xAI): Used to analyse and prioritise your business emails. Only the content necessary for analysis is sent to the AI service.
Google OAuth (where applicable): Used to authenticate your Gmail account. We request only the permissions necessary to read and send email on your behalf through the app.

Data Storage and Security
Your data is stored on servers hosted within the Republic of South Africa and is protected using industry-standard security measures, including AES-256-CBC encryption for sensitive data. Access to your data is restricted to authorised personnel only. While we take reasonable technical and organisational steps to protect your information, no system is completely secure. You are responsible for keeping your login credentials confidential.

Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the SuperBoss service. If you close your account, we will delete or anonymise your personal data within a reasonable period, unless we are required to retain it by law.

Your Rights Under POPIA
Under the Protection of Personal Information Act, you have the right to be informed about the personal information we hold about you; to request access to that information; to request correction of inaccurate or incomplete data; to request deletion of your personal information, subject to legal obligations; to object to the processing of your personal information; and to lodge a complaint with the Information Regulator of South Africa. Children's Privacy
SuperBoss is a business tool intended for use by adults aged 18 years and older. We do not knowingly collect personal information from children under the age of 18. If you believe we have inadvertently collected such information, please contact us immediately so that we can take the appropriate steps to remove it.

Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of SuperBoss after any changes constitutes your acceptance of the updated policy.
